Who we are
We are the Erewash Canal Preservation & Development Association, a Charitable Incorporated Organisation. Registration Number 1173704 (England and Wales). Our Registered Office Address is: Erewash Canal Association, 130 Derby Road, Langley Mill, Derbyshire NG16 4AA Telephone 0115 837 0700
In June 2025 the membership voted and adopted a working name – Erewash Canal Association (ECA). This was subsequently approved by the Charity Commission with the updated Constitution.

This policy explains when and why we, Erewash Canal Association (ECA), collect personal information about the members of our Association, how we use it, how we keep it secure, and your rights in relation to it. At ECA we’re committed to protecting and respecting your privacy. We will always comply with the General Data Protection Regulation (GDPR) rules when dealing with your personal data.

What type of information do we collect from you?
We collect contact details for the sole purpose of communicating with our members, volunteers and supporters to conduct the business of our organisation. For this purpose we collect and retain the following information.

Members

  • Name
  • Full Postal Address
  • Contact details
  • Boat details (if appropriate)

Volunteers

  • Name and contact details
  • Emergency contact details
  • Medication (if appropriate) in case of an emergency
  • Work Party related relevant qualifications/skills

Supporters

  • Name
  • Email address

Information created by your involvement with Erewash Canal Association
Your activities and involvement with ECA will result in personal data being created. This could include your name and email address, details of donations, how you’ve helped us by volunteering, or being involved with our rallies and other activities.

Sensitive personal data
We do not normally collect or store sensitive personal data (such as information relating to health, beliefs or political affiliation) about supporters and members. However there are some situations where this will occur (e.g. if you volunteer with us or if you have an accident on one of our volunteering activities). If this does occur, we’ll take extra care to ensure your privacy rights are protected.

Accidents or incidents
If an accident or incident occurs on our property, at one of our events or involving one of our members (including volunteers) then we’ll keep a record of this (which may include personal data and sensitive personal data).

How we process your information
All the personal data collected is processed by our Officers in the UK. ECA does not provide volunteer details to any other organisation. We never sell your data, and we will never share it with another company or charity for marketing purposes.
When you give us personal information, we take steps to ensure that it’s treated securely. When you are on our secure web page, a lock icon will appear in the address line of all major browsers.

Non-sensitive details (your email address and the content of your email etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of your home computer or the internet, and any online communications (e.g. information provided by email or by using our website) are at the user’s own risk. Once we receive your information, we make our best effort to ensure its security on our systems.

Personal Data associated with Membership/ Supporter Database
The Membership Database is the largest component of personal data handled by ECA. The controller for this data is the designated Trustee. The purpose of the membership data is to maintain contact with members/supporters, manage renewals of membership and collect Gift Aid.

Collection, processing, and storage of membership data shall comply with the ECA principles. Consent shall be obtained as part of becoming a member/supporter. The Membership database may contain records of past members and details of non-member donors. This is kept for Gift Aid purposes.

Volunteer Data
The controller for this data is the designated Trustee. The information collected shall only be used for the purposes of administering the Trust’s volunteer activities.

Personal Data associated with Events
ECA keeps a database of stallholders, attraction operators, performers, visiting boaters, contractors, caterers, walkers, walk leaders and others involved in the running of its Events. The controller of the data is the designated Trustee. The information collected shall only be used for the purposes of organising Events.

Email addresses
Non ECA email addresses are personal data. They should therefore not be shared with other persons without their permission. It is good practice when sending an email to multiple people to use the BCC function to prevent personal data being shared.

Password security
Where we have given (or where you have chosen) a password that enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

Who else has access to your information?
We never sell your data and we will never share it with another company or charity for marketing purposes. We will not share your personal data with any third parties without your prior consent (which you are free to withhold) except where required to do so by law using the lawful bases for processing your data.

We will only share your details with third parties who are service providers, agents and subcontractors to us for the purposes of completing tasks and providing services. We only disclose the personal data that is necessary for the third party to deliver the service:

  • WHUK – Web hosting
  • Mailchimp – Newsletters
  • Membermojo - membership

In order to manage the affairs of the Erewash Canal Association, we use the following Internet service providers:

  • WHUK
  • Mailchimp
  • Membermojo

In using these services we store the personal data that we hold on their servers that host those services. It is important to confirm our compliance with EU data regulations (GDPR), particularly in respect of the export of personal data outside of the region.

We use WHUK to host our website and we have specifically chosen to do so in their UK data centre. WHUK Legal statement section seven affirms its commitment to comply with GDPR.

Mailchimp is the service provider for our email newsletters. Their servers are located in the United States but since they certify to the Privacy Shield framework they can lawfully receive EU data as the Mailchimp GDPR FAQ explains.

Membermojo is the service provider for our online membership. Their servers are in a UK data centre and the Membermojo GDPR statement confirms their commitment to comply with GDPR.

How long do we store your information?
We will only use and store information for so long as it is required for the purposes it was collected for. How long information will be stored for depends on the information in question and what it is being used for, but it will be subject to an annual review.  We may also be required to store data to satisfy legal requirements, for financial audit purposes or to satisfy insurance requirements. 

How long do we store Members' information?
We will hold your personal data on our systems for as long as you are a member of the Association. Once you cease to be a member, the following terms will apply:

  • We will review your personal data every year to establish whether we are still entitled to process it.
  • If we decide that we are not entitled to do so, we will stop processing your personal data and delete it, except that we will retain such of your personal data in an archived form to be able to comply with future legal obligations and the establishment exercise or defence of legal claims.
  • Once we no longer need to retain your data under the provisions of the clause above, we will delete all your personal data except for your name and date of leaving, which will be retained to ensure the data integrity of our archive systems, e. g. the recording of historical event participation.
  • Any photographs of you (or your boat) taken at Association events on which you may appear will not be removed, as these form part of the Association’s history archive.
  • Likewise, any photographs that have been uploaded to the ECA website are part of the Association’s history archive and will not be deleted.

If circumstances require it, we will delete your data at your request, subject to the limitations listed in the above clauses. Web server log files are deleted in accordance with the retention and deletion policies of our hosting supplier.

Profiling
We do not analyse your personal information to create a profile of your interests and preferences.

Use of 'cookies'
If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

If you hold a Web Login
When you log in, we will send several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Links to other websites
This privacy policy applies only to ECA‚ so we encourage you to read the privacy statements on the other websites you visit. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.
